Introducing BPsign!

An exciting new addition is now live in Business Pilot – BPsign.

This new feature enables you to send PDF documents from within BP to customers for an electronic signature. Once signed by your customer, a copy of the signed document is available to view in the Business Pilot system.

BPsign will help you to streamline quote agreements and contract signing, but you can also use it for any other PDF documents that might require a signature from your customer.

How BPsign works

You can access the BPsign functionality from any Lead or Contract Document or Template.

You will see a new ‘Sign’ button (the pen icon) next to any PDF documents that have been created.

Under the Documents Tab, you will also see a new tab called Signature Requests.

To request a signature on a document, you first create a Signature Link using this sign button, which will show this window.

Here, you can choose whether to create the link and send it to your customer for signature directly via BPmail.

Or you can toggle to ‘Create Link’ and just create a signature link that you can send to your customers via other channels.

Once the Signature Request Link has been created, you can find it under the Signature Requests Tab, where it can be copied, edited, or deleted.

What your customer sees

Once a signature request has been generated, the document will essentially become an ‘online’ document and be stored on our new, secure hosting environment bpsignature.co.uk.

The screen your customer sees when they follow the link will be branded to your company with your logo. In the unlikely event your customer navigates away from the document signing screen, the only thing they will find is our BPsign landing page, which simply explains that this is a secure way for them to sign documents digitally.

When your customer clicks on the Signature Request link, they will be taken to this screen, where they can see the comments and the document. They can then choose to place a signature and submit the document. Or, if there is an issue they can reject the document.

Back in Business Pilot

Once your customer has signed the document, a date stamp will appear in the ‘Signed’ column in the Signature Requests Tab. And back in the Documents Tab, you will find a copy of the signed PDF document.

If your customer has rejected the document, you will see a date stamp in the ‘Rejected’ column in the Signature Requests Tab.

To see why the Signature Request has been rejected, you can go to the Activity Tab in the Lead or Contract and then Logs.

Email Notifications

When your customer signs, or rejects the document, the User who created the Signature Request will be notified by email.

We’re officially launching BPsign at FIT Show, which is taking place at the NEC in Birmingham from 29 April – 1 May. If you’re coming along, please stop by Stand G38 for a BPsign run-through.
