Reason for Update: We’ve put in measures to avoid contact duplication. In addition we have made improvements to our Service Call PDF. See below for details.
Possible Duplicate Contact?
We have recently added a new feature to Business Pilot that will now alert you to a possible duplicate contact when you go to save a new entry.
This is looking at a combination of 2-3 of the main criteria, Contact name, email, phone number, address & postcode. If 2 or more of these match then it will highlight a potential duplicate to give you a chance to cancel what you are doing or merge the lead with the exiting Contact as it does in the Enquiries area:
Ideally we would all like to keep the database as clean as possible and are keen to avoid duplicate entries. Choosing the ‘View Create Lead’ when results are available will ensure the new lead is added to the existing contact.
Service Call Sheet
The Service Call sheet has seen some slight improvements. These include showing the amount outstanding balance of the contract above the sign off sentence, this will still show as £0 if there are no raised invoiced outstanding. We have also extended the standard sign off sentence to assist with job completion and requesting balances as seen below.
Skip Auto Notes When Moving Jobs
As you may notice we have added a new feature to BP this week around moving jobs on the schedule board. Currently every move is automatically noted, however, this will now be optional as per the toggle shown below:
Moving forward this will enable you to reduce the Notes on Contracts where you are simply reorganising the schedule rather than moving the customer install.
We would still recommend the auto-notes are used when a customer is informed of a change for auditing and to try and avoid future issues.
Contact Record Showing Contract Status
The status of each Lead and Contract can be found in the main grid results page. However, these can also be seen for individual customers within the main Contact record for each.
This can be particularly useful when managing Contacts with multiple leads such Trade customers or Contractors.
Business Pilot has a continual development cycle and all new features are included within your subscription. In fact, as a user, we encourage you to ask for more! That way, we all benefit from a continually improved system.
