Using Business Pilot to manage 3 sites

The Problem

Joe and The Window Man team were using a T-card board, notepads, message books and filing cabinets to manage sales and operations across three sites in Somerset & Dorset.

Their phone system would transfer calls from one branch to another if there was no answer at the first one. But the old systems meant that the person answering the phone didn’t have the information to help that customer or supplier.

The team would ask customers where they had heard about The Window Man and occasionally this information was recorded. But it was difficult to track and see exactly where leads were coming from.

The Solution

Business Pilot gives Joe and the team a constant reference point for what’s happening in the business across all three locations.

Scheduling jobs is now easier, thanks to the interactive schedule board. The Window Man has introduced a process of only booking out 80% of fitters hours in a week.

This is to allow for any bumps along the way. But if there are no issues, jobs can easily be brought forward if deliveries have arrived.

Using our CRM software also means that whoever picks up the phone, in any of the offices, it only takes a quick search in Business Pilot for them to find all the information about that customer or supplier and answer any questions.

“The schedule board, in my opinion, is brilliant. I can always tell the sales guys what lead times are expected. Every couple of weeks, we have a brief with the sales guys and say, right, this is where we’re at.

My other favourite one is the profit margin sheet. We have always used margin calculator, but I’ll get people come to me asking: Can I take this job out? Can I do this deal? Can I do that deal? And then before you know it, if you said yes too many times, that will drive your average down. Now at the press of a button, I can look at it and make the right decision because my profit and losses are always correct.”

The Impact

“I wouldn’t be able to run three separate shops without Business Pilot. It’s as simple as that. It would drive me up the wall.
