Service calls managed & evidence stored

Manage your Service Calls so that they don’t become a drain on your time and profits. Log each call and assign jobs to your Service Engineer or Installers, review common callouts, and check how they affect the profit margin on each of your jobs. Images and notes can be added to the Service log for a full-service history record.

From time to time, things happen. A faulty handle, a door that needs some adjustment, or a customer who just needs some extra peace of mind because things aren’t looking how they expected them to.

Your business may be large enough for you to employ a dedicated service engineer, or you might book service calls around your fitting team’s schedule. Either way, you need to be able to schedule them in, keep track of them and monitor how much they are eating into your profits.

Schedule Your Services

The Service function integrates with our Schedule function, just like when you’re booking installations. They are separately colour-coded, so you can see at a glance how many you’ve got booked in for the week. Within the Service call booking, you can add important information for the User carrying out the Service call, including the type of call, reason, route to get there and a time allocation for the call. All the Contract details are also to hand, for customer contact details, address and of course, the link to Google Maps – a feature that fitters love!

As with any appointment booked within the Business Pilot system, Service call bookings can link with BPmail, so your customers receive email confirmation of their service call and there are specific Email Template placeholders to automate these messages.

Service Calls also link to the Site App so that service engineers can see key details for each job. Engineers can add notes, upload documents and photos, and even make voice memos which are instantly accessible from the main system by any other user.

Managing the Cost-of-Service Calls

Once the Service Call has been completed, the service engineer has access to the Service Call response form, where they can record what the outcome of the call was, if another visit is required, the route of the issue and the time they were on site. There’s also a toggle to indicate if the customer has signed off the issue and if any further action is required.

The Service Call grid can be exported as an excel document or PDF for your records, or so you can see a snapshot of what Service Calls are still live and what’s been rectified that particular week. You can also use this screen to keep an eye on how many hours are being spent on Service Calls, so you can analyse the cost of callbacks.
