With the Business Pilot Task function, you can assign tasks to different users, manage your own task list within the dashboard, set deadlines and see when tasks are outstanding or overdue.
Obviously, we would all love to have Greg Davies, the Real Taskmaster, presiding over all of our businesses and making sure that all tasks are completed correctly, consistently and on-time…but now you’ve got Business Pilot for that.
Task setting is an easy way to assign actions to your team and monitor when those actions are completed. It gives a good overview of everyone’s workload and helps your team to deliver consistently high standards of customer service.
Whenever a Task is set, there is the option to set a date and time due by – great for doing a callback at the time requested by the customer. You can also set reminders for tasks, which flag as a notification for the user that the task is assigned to. The reminder notification has a link which takes the user directly to the task details.
It’s a simple ‘click the tick’ button to mark tasks as completed, and this can be done within the task, or be completed on the main grid, which is just perfect if your users are completing lots of tasks in quick succession!
The ‘All Tasks’ page option in the Contacts, Contracts and Leads sections, gives users oversight of Tasks within each of those areas, so you can check whether Tasks have been completed and see a record of all Tasks for all users.
If someone in your team moves to a new role within your business, or even leaves the business altogether, there is the option to ‘Close’ all Tasks. You can also reassign them all to another user in the system, such as a team leader or new starter.
In every business, there are repetitive tasks that are crucial, but time-consuming. But nobody needs any additional repetitive tasks in their lives if they can avoid it, right? Thankfully, we have Task Templates.
Task Templates can be set-up to remind users what actions need to be taken at in order to mark that task as complete. For example, it might be that the Task is to follow-up on a quote that has been sent, and you want them to record any call attempts or left voicemails in the notes section. That prompt will be automatically attached to any Task that uses that Template!
These Task Templates can also be used when you are setting up rules within your Status Progressions. So, you could create a rule that when you progress from ‘Quoted’ to ‘Mark as Sold’ the system requires you to ‘Add Task’. The ‘Add Task’ pop-up in this rule sequence could now automatically pre-fills with a description such as ‘Draw up Contract’.
